Text message or fax for a document

Two channels answering two different questions.

Texts and faxes are not rivals: they do different jobs. A text alerts a person, immediately, on a device in their pocket. A fax delivers a document to an organisation and produces a confirmation issued by the receiving equipment. The common mistake is choosing on speed when the real question is: do I need to alert someone, or to hand over a document whose sending I may have to prove? Often the best answer is to do both.

What really separates them

Four gaps that decide the choice, and none of them is about speed.

What travels
A text carries short plain words, with no formatting and no attachment. A fax carries the image of a page: a handwritten signature, a stamp, a table, a filled-in form — everything that cannot be said in 160 characters.
The record produced
A delivered text produces, at best, a delivery receipt held by the operator and rarely available to the sender. A fax produces a transmission report issued by the receiving machine, showing the number reached, the time and the page count.
The recipient
A text goes to a person, on their personal number. A fax goes to a service, on a number assigned to a desk, a registry or a secretariat — one that asked for it.
What is expected of it
Nobody has ever been told "send us that by text" in a formal procedure. Organisations that give out a fax number expect a document on that number, and it is the recipient who picks the channel, never the sender.

When a text is the right call

  • To warn, not to deliver

    Announcing a delay, confirming an appointment, flagging that a document is on its way: a text is unbeatable because it gets read within the minute. It does not replace the document, it announces it.

  • When the recipient only has a mobile

    A private individual has no fax machine. Sending them a fax makes no sense, and a text — or emailing the document — is the only workable route.

  • When nothing will have to be proved

    For everyday coordination — times, addresses, verbal confirmations — the record does not matter and convenience wins. That is most exchanges, and rightly so.

When fax is still the right call

  • When an organisation gives you a fax number

    This is the decisive case: the recipient has chosen the channel, and sending something else delays the file. Healthcare, the courts and public administration still work this way.

  • When you must send a page, not a message

    A signed form, a prescription, a report, a quote: these are laid-out documents. No short message replaces them, and photographing one to send by messaging app does not always satisfy the recipient.

  • When a send confirmation will matter

    As soon as a deadline is involved, the transmission report kept with the copy you sent beats a message whose received content and reading time you cannot demonstrate.

The combination that works

Send the document by fax, then warn the person by text or phone. That answers the main weakness of fax, which is that the page comes out on a shared device and waits there: somebody collects it because they know it is coming.

The reverse does not work. A text announcing a document has never delivered the document, and a service offering to "fax by text" is really sending a link to tap — which is neither a fax, nor proof of transmission, nor anything a public desk will accept.

Frequently asked questions

Does a text message have legal value?
It is admissible as evidence in systems where proof is free, just as an email or a fax is. Its weight is then assessed case by case, and the practical difficulty is the same as for a fax: demonstrating the exact content and the identity of the author. For a specific situation, that is settled with a legal professional.
Can I be notified by text when a fax arrives?
Some fax reception services offer it, with a virtual number: the fax reaches the provider, which notifies you and forwards the document. MondialFax assigns no numbers and only sends; the page on receiving a fax covers what exists elsewhere.
Can I fax a mobile number?
No. The protocol needs a machine at the other end that answers in tones, and a mobile puts a person on the line; mobile networks also compress voice in a way that destroys a modem signal. The dedicated page explains what the question really covers.
Where can I send a free text message?
