Receiving a fax

What it takes to receive a fax today, what it costs, and why MondialFax does not do it.

To receive a fax you need a fax number assigned to you. That number is either wired to a physical fax machine or routed to a gateway that decodes the incoming signal, turns it into a PDF and emails it to you. That is the fundamental difference with sending: sending only needs outbound access, receiving needs a number reserved for you permanently — which is exactly why reception is nearly always paid for, while sending can be free.

How receiving a fax works

Three components only, whichever solution you choose.

    An assigned number

    A geographic or special number is reserved for you. It is what your correspondent dials; without it, no fax can reach you.

    A gateway that decodes

    The incoming signal is demodulated and rebuilt into an image. In a modern setup that happens at the carrier, not at your desk: no fax machine, no phone socket.

  3. 3

    A delivery

    The rebuilt document is handed to you, usually as a PDF attached to an email, sometimes in an online space. That is what fax-to-email means.

Why receiving is not free

A phone number is not a free resource: the regulator allocates it to a carrier, which reserves it for a subscriber. For as long as it is assigned to you, it is billed to you — whether you receive one fax or none. It is a recurring cost, not a per-use one.

That is why free sending services exist — sending consumes a shared resource on demand — but almost no genuinely free, lasting reception service. "Free reception" offers are usually trials, shared numbers whose availability you do not control, or advertising-funded services.

Your options

  • A fax-to-email service

    You rent a number and faxes land as PDFs in your inbox. It is the simplest option if you receive regularly, and the only one that works without a phone line.

  • Keep a line and a fax machine

    Sensible if you already have one and your line still supports it. Worth checking: moving to VoIP often degrades fax transmission, and copper lines are being retired.

  • Ask for another channel

    Often the best answer: many organisations that still send faxes also accept email, a secure portal or post. One phone call sometimes saves a subscription.

What receiving means for your documents

A fax received by email travels through a gateway and then an inbox. The document — often sensitive: medical records, court filings, contracts — is stored there for as long as you keep it, and its confidentiality becomes that of your mailbox. If you handle personal data, that is the link to look at, not the transmission itself.
